HomeMy WebLinkAbout2013-6-132 0 a z MINUTES TEMPLATE m ^ m m -a N COMMITTEE: Visitor Services Advisory Committee Time Meeting called to Order: 41i2pmm m o MEETING DATE: June 13, 2013 Time Meeting Adjourned: 4:55pm MEMBERS PRESENT: Kate Hamilton, VS Director, David Sharpe, VS Administrator, Patrick Dugan VS Children's Beach Coordinator, Gene Mahon, Chairman, Charles Balas, Wendy MacCrae, Phil Read, Louise Swift, Libby Gibson, Town Manager, Rick Atherton, Chairman Board of Selectman, Bruce Miller, Selectman, Ann Balas REMOTE: Diane Reis - Flaherty MEMBERS ABSENT: AGENDA ITEM DISCUSSION VOTES / ROLL CALL 1 Chairman's Report None 2 Visitor Services Update None 3: Children's Beach Update Kate introduced Patrick Dugan the new Children's Beach Coordinator. Patrick briefly spoke about adding kickball as a Thursday activity and he is also booking bands for the Sunday Night Concerts. Patrick also noted that he has being trying to contact the Children's Beach concession to see if they will stay open for the concerts. Patrick handed out the concerts schedule. Gene asked if there is a concert budget. Kate replied that it is $7.500. Kate asked Gene to mention the info in Mahon About Town 4 Town Administration Review of Modified NVS Dept Duties and Responsibilities Kate deferred to Libby Gibson. Libby noted that Kate and David are doing a good job. There were functions removed from Visitor Services including restrooms that were now going to be managed by the DPW and signage. Added VS responsibilities include the Seasonal Recreation Coordinator (Patrick). Libby noted there will be bumps in the road as with any transitions. Phil asked about Signage. Libby noted that if people have concerns they should use the See Click Fix app or e-mail the Town. Wendy asked about the Event Permitting process which is another addition to the VS duties. Libby explained that Visitor Services will transition into that in the fall when it is not as busy. Kate and David will take over the paperwork and coordinate with groups planning events. 5 July 4th Update Kate reported that July 4th is always the biggest weekend on Nantucket. With the addition of coordinating the Main Street morning activities and the afternoon Games at Children's Beach, David, Patrick and Cooper Veysey will be helping to coordinate all the activities. Kate has also assigned the VS staff as well as Zona Butler and her Girl Scout troop will be helping. Kate went over the many details of coordination the Fourth of July events. Kate showed the committee the Fourth of July brochure. 5,000 have been printed. Laura Gallagher -Byrne will be singing the National Anthem and the words to America the Beautiful are printed in the brochure for people to sing along to. Kate noted that anew Main Street activity is the Matt Fee Tea Toss. Matt Fee is donating several cases. Kate continued explaining that Patrick will be helping Jack Gardner with the Children's Beach games and as always, the fireworks are at 9:OOpm at Jetties Beach. Charles asked if the volunteers will have special T- Shirts. Kate explained that volunteer stickers have been ordered. There will be a volunteer meeting soon. Kate also reported that the Inquirer and Mirror newspaper had a nice article about the Fourth in last week's paper. 6 Hummock Pond Road Bike Path Opening, Saturday, June 15 Kate went over the coordination she has been working with Bob Williams on the Bike Path opening. Kate showed the committee the ad that ran in today's paper. A radio spot on WACK 97.7 FM was taped on Wednesday. There is a free picnic. Harvey Young of Young's Bike Shop will offer a biking clinic. Police Sergeant Kevin Marshall will offer a safety clinic. Sheriff, Jim Perelman will give out free helmets as well as cooking hot dogs and hamburgers. Cisco Brewers will offer non - alcoholic refreshments. 7Steering Committee Kate reported that she had worked with the Downtown Steering Committee and had been helping Rich Turer of ACKtown. She said she was stepping down from the Committee because she was not comfortable with the direction it was going in regards to her office. Also due to the needs of July 4th, Kate has also not recently attended these meetings and doesn't have enough time. Kate explained that she has concerns about the timing of the upcoming report presentation, given the busy time of year. The committee discussed the Downtown Steering Committee's original mission of possible creating a Business improvement District and the final ideas being presented including more off - season events and activities especially during the winter months and the funding mechanisms of both Visitor Services and the Chamber of Commerce. Gene asked Phil to attend a briefing with Rich Turer on June 17 as Gene feels that he has a conflict of interest with Mahon About Town. 8 Election of Officers for 2013 -2014 Term. David Larivee asked to table the discussion until July as the Board of Selectmen have yet to make the appointments for the 3 seats on the committee. There are 3 committee openings with 4 people applying; Jamie Holmes, Bevin Bixby, incumbents Diane Reis - Flaherty and Gene Mahon.
