OLD BUSINESS: Fair budget was discussed by James Manchester and Maria Zodda noted discrepancies and ask for it to be looked at closer by checking finance records (hard copies). Nash Strudwick requested James Manchester to move the column format so venders would show up in the spreadsheet (Munis). Field Complex was to pass the minutes to the commission from a meeting of 27 September 2010 with CHA Sports( contractor for Field Bid Specifications). Blackwell Associates was to inform the Commission of its intention to move Sand across Jetties to restore a coastal bank at 31 Hinkley lane as had be agreed upon when this action takes place. Jetties Beach Concession was discuss to see if their contract allow for subletting the Gift Shop? Nash Strudwick instructed James Manchester to check on this matter. Charles Bartlett requested that James Manchester remind the concessionaire that the Ice Machine per contract is to be move inside the build for the winter. Skate Park- Nash Strudwick instructed Charles Bartlett to place the small & large grinding rails back in the Park(Completed) State Rep. Tim Maddon-has asked Dir., James Manchester, to allow the Mass State Police to use the Jetties upper parking lot for the local CDL training. Tim Maddon has told James Manchester that an agent of the State Police will call him to give details as to what this will entail. James Manchester will report back when this occurs. James Manchester stated at a previous meeting that State Rep. Tim Maddon hopes that this will be a possibility. James Manchester stated that this needs to be approved by the commission. Nantucket holds a special place in our hearts, and we are so happy that the 4th Annual Walk at Jetties Beach was such a wonderful success. As we mentioned on Walk Day - Massachusetts recently became the 23rd U.S. state to pass autism insurance legislation. We were pleased that Representative Barbara L'ltalien, who was a co-sponsor of the insurance bill, and Representative Tim Madden, were able to join us at the event. Celebrating the bill's passage was a highlight of the day for us! As supporters of our Nantucket Walk, you not only help the autism community at large, but you help to improve services on Island. Because of your commitment, our Nantucket Resource Center is thriving! Under the leadership of Director Kim Horyn, our Island families can now find the assistance they need throughout the year. This past April during autism awareness month and as part of World Autism Awareness Day on April 2, we launched a brand new initiative called Light it Up Blue. We were awed by the outpouring of support we received ,and were thrilled to watch the Empire State Buildingjoin monuments and landmarks around the world to help us shine a powerful spotlight on autism. The 2011 Light It Up Blue campaign hopes to expand Autism Speaks' reach to every corner of the world. Please read this document. In short, the proposal seeks to: _ move the event from the second weekend of July to the last weekend of July - Saturday, July 30 - per our request (no other events that weekend) _ increase participation from 750 to 950. [First year registration was capped at 500 (about 400 participants), last year it was capped at 750 (about 600 participants)] _ start the event at 8:00 am (registration beginning at 6:00 am, Bathing Beach Road closure at 5:30 am) at Jetties instead of noon to address the beach and resident traffic issue - close the landfill on Saturday morning, July 30 (open later or keep closed?) _ stage the swim to the RIGHT of West Jetty near Community Sailing instead of from Jetties beach - bike the same path out to Madaket Road via Cliff with road closures along both (same as previous two years) - performing the same run route Could you or a representative of your office participate in a 2011 Nantucket Triathlon planning session with the event organizers on Mondav. The transition area will be fenced and/or barricaded and only athletes competing in the race will be allowed to enter or leave the transition area. OVERVIEW: The event will consist of a swim, a bike and a run in consecutive order. Swim: The race start will be mbli_(~_iJl~\iilljfiIY. Racers will be corralled in a "chute" down towards the water and "penned" in groups by age pending a "wave" start format. Swim waves of 50-75 racers will be sent off at a oximatel three 3 minute intervals on a rectan '.~' When the athletes have completed the swim they will exit the water, run up the beach and to the upper parking lot/tennis courts and into the transition area. Bike: The athletes will exit the transition area and mount their bikes in a designated "mount" zone near the entrance to the upper parking lot. The athletes will ride their bikes out Bathing Beach Road to North Beach Street, down North Beach to Easton, right on Easton to Cliff Road, right on Cliff Road to the intersection ofMadaket Road/CliffRoad/Eel Point Road, out to Madaket where there will be a turn-around in front of the West End Restaurant2. The athletes will then return the same way to Jetties with the exception of coming down the other side of Cliff Road, through the West ChesterlChesterlCenter Street intersection onto Easton Street and then left onto North Beach and back to the Jetties. Run: Once back at the upper parking lot, the athletes will re-rack their bikes and head back out on their run. Athletes will head back out right onto Bathing Beach Road to North Beach, bear left onto North Beach, right on Easton, right on Cliff Road, right on Cabot Lane, left on Grant Ave., around Lincoln Circle, right on Nantucket Ave., left onto Cliff Road, left on Westchester Street and onto Easton, down to the end of Easton near Brant Point, left on Jtf,~.l.ij"'.iI.M~ 2 North Liberty Street will be closed from Westchester Street to Cliff Road except for police, emergency or race support vehicles from approximately 7:45 AM to 12:00 PM (or as determined by NPD) on the day of the race. Traffic will be diverted to West Chester. Cliff Road will be closed to all traffic and no parking - except for police, emergency or race support vehicles - from the bottom of Cliff Road (both sides) to Madaket Road from approximately 7:45 AM to 12:00 PM (or as determined by NPD) on the day of the race. 3 Any internal traffic in the Cliff Road area will be diverted to either Derrymore Lane and out North Liberty or out Cliff Road to Madaket Road from any feeder roads. TOTAL DETAIL OFFICERS reQuested: 23 (includes two (2) motorcycle officers) 6 CANCELLATION-CONTINGENCY PLAN In the event of a cancellation of the swim portion of the event due to weather, the race will be converted to, a duathlon with the swim portion of the race being eliminated and the race taking a run-bike-run format. Duathlon Contingency: In the event that the race converts to a duathlon due to the cancellation of the swim portion of the event the course will be as follows: 1.) First Run Start will be by swim wave but will be doubled in size so fewer waves will go off on the first run. First run will leave Jetties out Bathing Beach to North Beach to Easton, left on Easton, to Hulbert, left on Hulbert, back to Bathing Beach and into the bike transition. 2.) Bike Athletes will transition from the first run into transition area. Bike Course will be the same. 3.) Second Run Athletes will transition from the bike into the transition area. Second run will be same as original run course ( see above) Cancellation Contingency In the event the race is cancelled on Saturday, July 30,2010, the race date will be moved to July 31, 2010 with same times, same distances, etc. In the event that the event must be cancelled for Sunday, the event will not be re-run in 2011. T. posted out side checking in students and later patrolling the out side ally & any troubles will be reported to him as he is the point man and coordinator of the event. He is also the contact person for the police. . Jimmy is inside roaming and spelling volunteers as needed he is also responsible for going out and getting the pizzas. . One volunteer for the back room to monitor boy's bathroom and to keep people from coming and going out the back door. . One volunteer (female) out side the little hall way by girl's bathroom to monitor that area of the floor and periodically check the girl's bath. (This has typically been where we have had the biggest alcohol (storage) problems) . A volunteer by D.J. for his protection and to keep the crowd offhis case . Two volunteers by the front door when we start to hand out stuff, necklaces etc., afterwards one stays there and the other can go to a different position. . One volunteer to split the difference between front door and the girl's bath. . If we have one more volunteer, they can help front door and front (facing the street) side of the room where most of the GRINDING goes on. If there is a problem, a volunteer will get a second volunteer to get A.T.; the first volunteer will stay and monitor the situation. The road and parking works for either location. Our thoughts on locating the building further to the east was to get it closer to the synthetic turf field, which is likely to be the most used facility, and draw the most spectators. This location also reduces the length of utility runs into the site, which will provide some cost savings. Field #1 has been lengthened to 360' . . Drop-off revised to accommodate bus turn-around. . Building location is shown on the east side of drop-off, in closer proximity to the future syn. turf field. This location would require shorter utility runs into the site. We could flip this location to west side of the drop-off if that is preferred. I work with a company that runs youth lacrosse camps across the country, we combine top-notch coaching, college coaches and players, international and professional stars and coaches, with great locations. Our goal is to provide young athletes with an opportunity to refine and develop skills on the field, as well as help the kids develop confidence and leadership skills off the field. We already run a great camp on Cape Cod, and we would like to offer a 4-day program for 1 week during the summer. Our dates are pretty flexible and we are open to either'grass or turf fields. Please let me know if this might be possible, and I can provide more information about our program as well as answer any questions you might have.
